OER Deposit Tool guide

After successfully completing registration you are now able to upload resources using the OER Deposit Tool interface for JorumOpen. Please follow the step by step guide below which explains fully, the process of filling in the web form in order to submit resources.

Login to the OER Deposit Tool

Go to deposit.jorum.ac.uk to access the OER Deposit Tool homepage, then click the login button which will take you to the UK Access Management Federation gateway.

Specify which institution you wish to authenticate with. If you have not already authenticated, after clicking the login button you should see a drop-down list of institutions. It may look like this:

Choose your own institution from the drop down list and click the "Select" button. Then enter your institutional username and password as requested and click OK. NOTE: If you can't find your own institution listed here, please talk to your local support team for help. Your local authentication system may not be set up in a way that permits access to Jorum. More information on access methods to Jorum.

If it didn't work..

If it worked..

If your password has been accepted, briefly you should see a message entitled "Shibboleth Authentication Request Processed". This may be displayed for a few seconds. It looks like this:

Submitting resources with the OER Deposit Tool

Click the Jorum interim deposit logo in the middle of the home page or the link underneath.

This will take you to the OER Deposit Tool form for uploading new content.


Step 1: Select your files or web links to upload

Each field on the OER Deposit Tool form has a question mark next to it which, when clicked opens a lightbox to offer further information regarding the expected user input. Required fields in this form are marked with an asterisk(*). For added functionality, please make sure Javascript is enabled in your browser although the tool will still work without it being activated.

The first field requires the depositor to select files for upload, there is also an option to add web links that refer to externally hosted resources. When the add file button is clicked a dialogue box will open.

Click on the choose file button to select a resource then enter a relevant title. To confirm changes click Add. To add multiple files repeat the process.

Step 2: Tell us about your resource

For a resource to become more discoverable by others, depositors are required to add information into the title, description and keywords fields. Add several keywords by entering them each on a new line.

Adding optional information

Although not mandatory, it may prove beneficial to add further information to help others locate your resource. Click on the link, Show further information form items to extend the form.

If your resource has been created as part of a JISC funded project that mandates its uploading to Jorum, such as RePRODUCE, please enter this in the Project name field. Next, complete the Creation Date field using the date format; DD-MM-YYYY (e.g. 01/06/2009).

To classify your resource into a specific subject area, choose either FE or HE to view different taxonomy frameworks then select one or several areas where the resource could be located. It is possible to classify in both FE and HE taxonomies.

Step 3: Select a Creative Commons licence for your resource

In order to complete the submission it is necessary to assign an author name and attach a Creative Commons licence with the resource.The author name should be the full name of the individual or organisation who owns the resource. If you are unsure which licence to choose, click on the question mark next to each licence for further information on specific licence options. Alternatively, click on the Creative Commons link which gives a general overview of the licence framework.

Step 4: Read and agree to the Terms of Service

Before you deposit your resource click on the Terms Of Service link and take time to read and comprehend them. Finally, click the check box to agree to the Terms Of Service and press Deposit to upload the resource.

The next screen confirms the upload was successful and allows the depositor to edit the existing resource or add further resources if required.


There is also the option to preview the resource as others will eventually view it.

Email confirmation

When the submission process is complete, the depositor will also receive an email listing the information (metadata) submitted on the OER Deposit Tool form, and a link to the location of the resource submitted. These resources will eventually be migrated to JorumOpen when it becomes available.
